AudioEye is committed to digital accessibility. Like our web accessibility solutions, our Document Accessibility Solutions are managed services that leverage the ideal balance of our technology, proprietary services delivered by Subject Matter Experts and manual AT testing to ensure the accessibility of specific types of portable document formats (PDFs). Our document accessibility solutions are focused in two areas: 1) STATIC PDF documents that fall within three basic categories (see What is PDF Remediation Service? below), and 2) PDF Template Remediation Service, which focuses on configuring DYNAMIC templates for the output of accessible PDFs on demand (see What is PDF Template Remediation below).

PDF is an acronym for “portable document format.” A PDF can be generated from a series of original source formats such as Word, Excel, PPT. In short, any document that can printed, can be saved as a PDF. Think of a “PDF” as a picture of the original material – so instead of being a series of words, graphics or other elements on a page, each page in a PDF is a picture of the original material or source page.

By definition:

A PDF is a file format that provides an electronic image of text or text and graphics that looks like a printed document and can be viewed, printed, and electronically transmitted.

It is this transition that makes PDFs inaccessible if they are not designed and generated to be accessible – no different than a website.

AudioEye’s PDF Remediation Service is a managed remediation service similar to Ally Managed Service.

Only instead of providing remediation for websites, AudioEye provides remediation for specific types of portable document formats.

Currently, AudioEye is focused on the remediation of the specific types of STATIC PDF documents as follows:

Simple: These are defined as documents whose pages have a single design and are limited to text and two or less graphic elements (such as images, logos, and/or decorative elements), that can easily be made accessible with simple alt text.

Moderate: These are defined as documents that may have multiple, simple templates that have text and graphic elements, such as images, logos and/or decorative elements that can be made accessible with alt text. These may also include very basic tables.

Complex: These are defined as documents that contain tables, charts, diagrams, multiple images and/or infographics.

In dynamic remediation, AudioEye configures templates for use in high-volume applications.

For example, when a single template is used online to provide users personalized information on demand in the form of a downloadable PDF, such as Insurance Cards, Medical Statements or Bank Statements, AudioEye can configure the template so that dynamically generated PDFs are remediated in real time and are fully accessible when downloaded.

These are DYNAMIC because the PDF is dynamically generated using information from an existing database, but there is no user input, other than the request for information. Hundreds, thousands, or even hundreds of thousands of individuals may request the same document, but a version unique to their user profile, oftentimes populated with personally identifiable information is generated upon their request. So while the information is specific to the user, the template is standardized. Configuration of the template and real time remediation helps ensure every PDF that is dynamically generated is accessible and in conformance with ADA-related requirements.

In STATIC PDF remediation, AudioEye takes existing PDFs that fall into one of the three categories outlined here, and manually tests and tags them to ensure they are accessible in compliance with WCAG 2.0 Level AA standards.

Yes. As far as digital accessibility is concerned, the requirements for PDFs are the same as a website. To be deemed “accessible,” they must be designed for use by a range of assistive technologies in conformance with WCAG 2.0 AA.

At AudioEye, we recommend leveraging technology – publishing content via a CMS and leveraging the more accessible, universal, and compatible HTML format to post your content online (instead of PDF) simplifies content development, and helps promote accessibility. However, we understand that many companies and agencies have legacy documents that cannot effectively be converted to HTML for a host of valid reasons. Also, in certain cases, the portable format is necessary. When creating PDFs, its best to do so with accessibility in mind, taking steps to ensure accessibility best-practices are followed from the beginning of a project. AudioEye offers Accessible Document Training to assist content creators in creating accessible documents from the beginning. For all existing documents that require remediation, AudioEye offers our remediation services.

A DYNAMIC PDF template is one that auto-populates information, specific to each user requesting information, in a standard format. For example, when a single template is used online to provide users personalized information on-demand in the form of a downloadable PDF, such as Insurance Cards, Medical Statements or Bank Statements.

These are DYNAMIC because the end result, a downloadable PDF, is dynamically generated. Information is dynamically-populated from an existing database, on-demand. While the information is specific to the user, the template is standard, to allow the system to generate a high-volume of PDFs.

AudioEye configures the templates so that the downloaded documents are remediated in real time to produce fully accessible PDFs.
